Escrow Assistant Position

The Escrow Assistant is responsible for preparing the residential and commercial title transfer and refinance files for the Escrow Officers and performing specific functions necessary to the entire escrow process.

Education & Experience:

  • Minimum high school graduate, (preferably 1-2 years college or business school)

  • Minimum 2 years experience in Escrow Assistant role

  • Excellent computer skills (Microsoft Office (Word and Excel), Internet, and Title Software)

  • Minimum typing speed of 45 w.p.m.

  • Excellent communication, organization, and interpersonal skills

  • Ability to deal with all levels of organization and have impeccable customer service skills


Physical Requirements:

  • Requires occasional lifting, standing, pulling, pushing, and bending.  Must have the ability to lift, carry, or push/pull objects weighing 25 pounds or less.

  • Solid understanding of financial information and data, and basic arithmetic functions


Primary Duties & Functions of Escrow Assistant

  • Prepare the escrow file (review commitments, purchase agreements, note filing date, notify Escrow Officer of any concerns, rush orders, etc.)

  • Orders all necessary closing documents (e.g. water status, survey, payoffs, etc.)

  • Prepares CPL and sends to lender with preliminary CD, HUD-1, or other closing statement, etc.

  • Prints buyers and sellers documents for closing

  • Prepare new deed and send to Attorney for approval

  • Hand off the files to the Escrow Officers, once all duties have been completed

  • During the closing process, will scan packages to closers

  • Will scan signed packages into File Scan

  • During post-closing, sends out all disbursements, wires, etc.

  • Prepares pre/post-closing checklists and attach required documents prior to placing title file/jacket in policy area

  • Mail 90-day letter to sellers after closing for completion of the final water/sewer holds

  • Release final holds and keeps track of tax holds, ensuring timely payment

  • Assists Escrow Officer with scheduling of appointments, and preparing the preliminary CD, HUD-1, or other closing statements

  • Assists customers with inquiries and information requests, resolves complaints relating to title services offered and closings (within the scope of their knowledge base)

  • Assists in handling any post closing calls and follows up on any outstanding requests

  • Maintains accurate records and follows company procedures

  • Other duties as assigned
